The contract is in someone's inbox. The policy is on a shared drive. The approval is buried in an email thread. Then someone asks for the current version.

Obel-MS turns the pile into one record: the current version, when it expires and who approved it.

External Document Control

Drop in a certificate. It files itself.

  1. Drop it in the Inbox

Drag in a supplier certificate, statement or spec as a PDF, digital or scanned, one file or fifty.

  2. AI reads it for you

Obel-MS pulls out the document type, supplier, product, certificate number and expiry date. You accept, edit or dismiss every suggestion it makes.

  3. Approve it into the Register

One click moves the document from the Inbox into your controlled register, with the approval in the audit trail.

  4. Filed, and watched

It files itself under Supplier, Manufacturer and Product. Obel-MS watches the expiry date and warns your team before it lapses.

Workflow Manager

Every corrective action, from first report to proven fix.

Workflow Manager runs each nonconformance, CAPA, audit, change and document review the same way every time. Follow one nonconformance through its five stages, with example data.

  1. Record it

Anyone can raise a nonconformance, a CAPA, an audit, a change or a document review. Each record starts from a template with its stages, deadlines and approvers already set.

  2. Investigate and approve

Each stage has instructions, a deadline and a place for entries and evidence. When a stage needs sign-off, the Quality Manager approves or rejects it with a comment.

  3. Verify the fix

After the corrective action, the record waits for its verification date. The verifier checks the evidence and marks the action Effective or Ineffective.

  4. Show the auditor

Each record has a report with its details, summary, entries, approvals and verification. Download it as a PDF, together with the audit trail of every change.

Five templates, ready on day one.

Each template covers a process that auditors, clients and regulators ask about. Change any stage, deadline or approver in the template designer, or build your own templates.

We run it. You use it.

Obel-MS is a managed service that we run for you. Your monthly fee covers the software, the hosting and the people who keep it healthy.

Hosting

We run Obel-MS on Google Cloud in the region you choose, from Johannesburg to Belgium, Iowa or Sydney. We manage the servers, installs and IT tickets, so you don’t have to.

Backups

Daily backups of your database and documents, encrypted at rest and in transit.

Updates

New features and security patches roll out automatically, and you don’t need to schedule downtime.

Migration

Onboarding on Essentials and Professional includes an import of your existing documents. We quote larger migrations by the hour.

Support

Consultants who know document control and compliance answer your questions, not a ticket queue.

Monitoring

Uptime, errors and storage are watched around the clock, so you hear from us first.

For any team that runs on documents.

You define the document types and build the workflows. Obel-MS keeps every document current and records who approved what.

Admins define document types and add register columns. The register files every document by supplier, manufacturer and product, so it suits documents that come from outside your organisation.

In development

Your SOPs and work instructions, next.

Internal Document Control brings drafting, review, approval, periodic review and controlled issue of your own procedures into the same system.

We don’t have a release date yet. We’ll email you the moment it is ready.

Questions teams ask us

Is Obel-MS only for ISO 9001 and quality teams?

No. Any team that must keep documents current and show who approved what can use it: legal practices, manufacturers, healthcare providers, construction firms and professional services. Admins define their own document types, and you build your own workflow templates in the designer. The register files documents by supplier, manufacturer and product, so it suits documents that come from outside your organisation. If you work to ISO 9001, our clause map shows where Obel-MS supports it.

Where is our data hosted?

On Google Cloud, in the region you choose. Our standard regions are South Africa (Johannesburg), the European Union (Belgium), the United States (Iowa) and Australia (Sydney). UK workspaces are hosted in the EU region by default, and in-country hosting in London is available on request. Other Google Cloud regions, such as Canada, Switzerland, India, Singapore, Japan or Brazil, are available on request. Your documents, records and backups stay in the region you choose.

Can you migrate our spreadsheets?

Yes. Onboarding on Essentials includes an import of up to 100 documents, and on Professional up to 250. We quote larger migrations at our remote consulting rate, so you start with your document and supplier history in place.

Do you support SSO?

Not yet. Single sign-on is on our roadmap. Today every person signs in with their own account, and every action is recorded in the audit trail.

What about Internal Document Control?

Internal Document Control, for your own SOPs, policies and work instructions, is coming soon. Join the waitlist on the Internal Document Control page and we’ll let you know when it’s ready.

How long does setup take?

We agree a go-live date with you during onboarding, based on how many registers and documents you’re bringing across.

Do we need our own IT team?

No. Obel-MS is hosted, so there’s nothing to install or maintain. You sign in and use it; we run the servers, backups and updates.

Who owns our data, and can we export it?

Your data is yours. You can request a full export of your documents, metadata and audit history at any time.

How do supplier expiry alerts work?

Each document’s status is calculated automatically: Active, Expiring soon, Expired or No expiry set. The expiring-soon window defaults to 30 days and you can change it. Alerts go out as an org-wide digest by email and in Teams.

What AI features do you use, and is our data used to train AI models?

AI metadata extraction and record summaries use OpenAI models through the API, only for organisations that consent. Under OpenAI’s API terms, API data is not used for model training. If you cannot consent, a no-external-AI option is available on request. It uses local extraction on our own servers in South Africa and fills fewer fields correctly.

Is AI metadata extraction included?

Yes. AI metadata extraction is included on every plan and module. Obel-MS reads digital PDFs directly, and reads scanned supplier documents in Latin-script languages with OCR. The AI suggests fields such as document type, dates, lot or batch numbers and certificate numbers, and a person confirms them in the Inbox. Each plan includes a monthly allowance: 1,000 pages on Lite, 3,000 on Essentials and 10,000 on Professional. Above that, you can move up a plan, or we agree a volume price with you.

Do you sell outside South Africa?

Yes. Obel-MS is sold worldwide to businesses, with prices in ZAR, USD, EUR, GBP and AUD, and hosting in the Google Cloud region you choose. Outside South Africa, we send an annual invoice in your currency. Some countries need your local tax number on the invoice, such as a VAT number in the EU or UK, or a GSTIN in India. For some countries we check the local tax rules first, so contact us.
